The Customer Invoice Write Off allows users in Billing Organizations to write off a single invoice. Use the Cutomer Invoice Write Off Lookup to write off multiple invoices at the same time.
Customer Invoice Writeoff Initiation
The Customer Write Off starts on an initiation screen where you can enter or lookup an invoice. Click Continue once you've selected an invoice.
Customer Invoice Summary
The Customer Invoice Summary displays information about the selected invoice and customer. A Note is required to document the reason for the write off.
Invoice Items tab
Displays the invoice items associated with the selected invoice, the open amount and the write off amount.
General Ledger Pending Entries
General Ledger Pending Entries are determined by the value in parameter GLPE_WRITEOFF_GENERATION_METHOD:
Set the value to 1 to record the writeoff in the same account as the income. The object code is based on the income account's chart code as defined in parameter GLPE_WRITEOFF_OBJECT_CODE_BY_CHART.
Set the value to 2 to record the writeoff in the accounting string specified on the Organization Accounting Defaults table.
If Sales Tax is enabled in the Accounts Receivable module and sales tax is on the invoice that is being written off and parameter ALLOW_SALES_TAX_LIABILITY_ADJUSTMENT_IND=N, entries reverse the receivable on the income account and the sales tax account, the offset is to Fund Balance. The sales tax write off will post to the write off account listed on Organization Account Defaults. Otherwise, it will post as defined above.
The Customer Invoice Writeoff document is routed to the fiscal officer on the revenue account if the write off amount is greater than the amount specified in parameter APPROVAL_THRESHOLD.
A note is added by the system to the Invoice indicating that the invoice has been closed and references the initiator, document type and document number of the Customer Invoice Writeoff document.
