NOTE: The following steps assume a Kuali Financials cloud implementation, the environments, code, etc. are set up and you're ready to set up users, data and integrations.
- Load users or interface with user system of record, eg LDAP; person records should be associated with a default chart and org code - ie UA-1234 in order to support documents where org codes are used for routing.
- Use Person or Role Documents to add roles 45 to System Administrator user and role 54 to any users who will be creating transactional documents.
- Use Campus maintenance document to create campuses.
- Use Message of the Day maintenance document to create a message of the day for Origination Code 01, otherwise a message will display on the dashboard indicating that it cannot resolve the message of the day. The message can be blank.
- Run Fiscal Year Makers job to create current fiscal year, if not already created. Update SOURCE_FISCAL_YEAR with the last created fiscal year, check System Options or University Date table to determine the most recent year.
- Use the Chart maintenance document to create the top level Chart, which will report to itself, leave object codes blank.
- Create at least one more chart, additional charts if needed.
- Create top level organization, type U-University, Associated with top level chart.
- Update parameter ACCOUNT_NOT_REQUIRED with C,U,R,N and any other Organization Types created until accounts can be created.
- Design your chart of accounts
- If you want the system to create Capitalization or Plant Indebtedness entries, you will need to create a plant account to assign to your organizations. If you decide not to do this, you can load or create your organizations. One account can be used for movable and one for non-movable. If you have multiple charts, you may want to create separate plant accounts for each chart. If you don't track them separately, you can use the same account for both.
- Create an organization to be used to create the plant accounts (organizations can be created without plant accounts to facilitate the initial set up).
- Create the plant accounts
- Create or load your organizations with the plant accounts
- Update the initial organization and plant accounts, if they need to be updated.
- Create or load Accounts
- Create or load Object Consolidations
- Create or load Object Levels
- Create or load Object Codes
- Create or load Offset Definitions
- Use Chart Maintenance documents to update the charts with appropriate object codes
- Use Role document to add assignees to Chart Manager roles.
- Configure each module by updating parameters, adding and updating reference data, reviewing and editing roles (primarily adding assignees):
- Establish Integrations - possible integrations
- Payroll System - use the delivered Labor Enterprise Feed layout for detailed payroll entries and the Enterprise Feed Layout for the gross to net entries- the payroll system should provide files in the layout specified and then drop the detailed payroll files into file directory - staging/ld/enterpriseFeed and the gross to net into the staging/gl/enterpriseFeed directory.
- Student System - use the delivered Enterprise Feed layout -the student system should provide files in the layout specified and drop the files into the staging/gl/enterpriseFeed directory.
- Interdepartmental Billing Units - use the delivered Collector file for entries processed by internal institutional units. The units should provide files in the specified layout and then drop the files into the staging/gl/collectorFlatFile or collectorXml
- PCard files - creates Procurement Card documents and drops into fiscal officer action lists for approval.
- Shop Catalog and eInvoice integrations.
- Dataware house ETL
